New Enhancements to Shopify Integration in Business Central

Each new release of Microsoft Dynamics 365 Business Central brings smarter, more seamless integration with Shopify—driven directly by feedback from users like you. This ongoing enhancement is designed to help businesses manage planning, procurement, and product costs with greater precision.

With integration in place, you gain better control over inventory across locations and item variants, while simplifying key processes like pricing, discounts, and tax reporting. That means less time wrangling spreadsheets, more time growing your business.

Whether you’re using Shopify or Shopify Plus with B2B features, connecting it with Business Central helps automate tasks, reduce manual work, and drive efficiency across your operations.

Define Sell-To And Bill-To Customer Details For Each Company Location

The Shopify Company Location page in Business Central now includes two new fields: Customer No. and Bill-to Customer No., both linked to the Customer table. These fields are empty by default.

When a Shopify order is imported and includes a B2B company and location, Business Central automatically maps the sell-to and bill-to customers to these fields. This update supports more accurate customer assignments and improves the overall B2B order management process.

Shopify Customer Mapping Logic in Business Central

The following table illustrates how the system determines the Sell-to and Bill-to Customer No. in a Shopify order based on the values in the Shopify Company and Company Location:

Case Customer No. (Company) Customer No. (Company Location) Bill-to Customer No. (Company Location) Proposed Sell-to Customer No. (Order) Proposed Bill-to Customer No. (Order)
1 10000 (blank) (blank) 10000 10000
2 10000 20000 (blank) 20000 20000 (same as Company Location)
3 10000 20000 30000 20000 30000
4 10000 (blank) 30000
Not supported
10000 (same as Case 1)
5 (blank) (blank) (blank) (blank) (blank)

Note:

  • Case 4 is not supported because the Sell-to Customer No. is missing while Bill-to is defined. The system requires Sell-to to have a value when Bill-to is populated.
  • Case 5 represents a scenario with no customer data, resulting in no mappings.

Adding Customers as Shopify Company Locations in Business Central

Business Central offers a convenient action—Add customer as Shopify Location—to help you map customers as company locations in Shopify. When this action is selected, the chosen customer is added to the Shopify Company Location list.

 Important

The customer must not have already been exported to Shopify. This ensures proper mapping and avoids duplicate records during integration.

Enable Staff-To-Salesperson Mapping For Shopify Orders

Shopify POS allows staff members to process in-person transactions. When integrated with Business Central, each staff member’s activity can be tracked by mapping them to a Salesperson Code. This ensures that every order imported from Shopify POS includes the correct salesperson on the sales document, improving accountability and performance analysis.

Step-by-Step Configuration Guide

Here’s how to set up staff mapping between Shopify POS and Business Central:

1. Access the Shopify Shop Card

  • In Business Central, click the Lightbulb icon (Tell Me).
  • Search for Shopify Shops and select the related link.
  • Choose the shop you want to configure.

2. Open the Staff Mapping Page

  • On the Shopify Shop Card, select Shopify Staff Mapping.
  • Click Refresh to import staff members who are enabled in Shopify.

3. Map Staff to Salesperson Codes

  • For each imported staff member, assign a corresponding Salesperson Code from Business Central.
  • This links Shopify staff IDs to Business Central salespeople.

4. Import Orders with Staff Attribution

  • When orders are imported from Shopify POS, they include the staff ID.
  • Business Central uses the mapping to populate the Salesperson Code field on the sales document.

Benefits of Staff Mapping

Benefit Description
Traceability Track which staff member handled each sale
Performance Reporting Analyse sales performance by individual staff
Accurate Documentation Salesperson Code is auto-filled on sales documents
Reduced Manual Entry Eliminates the need to manually assign salespeople to imported orders

Known Limitations

Limitation Impact

No Export to Shopify You cannot export Business Central salespeople back to Shopify
Customer Data Requirements Shopify customers must have at least one address to be created in BC
Archived Orders Archived Shopify orders cannot be imported into Business Central

  • Custom Workflows? Extend the Shopify Connector using AL code to handle unique business logic.
  • Testing POS Integration? Use Shopify Payments in test mode—Bogus Gateway won’t work for credit card simulation.
